Reading Test 45 · Part 1 (Creek Cleanup Supply Pickup)Pro

Subject: Earlier Pickup for Cleanup Supplies

Hi Emmett,

I wanted to follow up about Saturday’s creek cleanup and the supplies stored at Birchside Centre. We planned to collect gloves and bags from the storage room Saturday at eight. Everything appeared to be settled, and I had planned around the original arrangement. The problem is that the centre will not open until ten because of an electrical inspection. Maintenance moved the inspection after a contractor became available. As a result, our volunteers would wait two hours without equipment.

I first asked the centre coordinator whether supplies could leave the building Friday. She can release the labelled bins at six if an approved volunteer signs for them. Before suggesting a change, I reviewed our earlier messages and the details already confirmed. One detail to keep in mind is that you have a van and already offered to transport the full bags after the cleanup. My preferred solution is having you collect the supply bins Friday evening. That would work best because the team can begin on schedule and the same van can return waste afterward.

That approach would preserve the parts of the plan that still work for everyone. If this is acceptable, I can update the remaining details as soon as I receive your reply. Another possibility is starting the cleanup at ten thirty. The difficulty with that option is that several volunteers have afternoon commitments and would leave early. I considered cancelling the arrangement entirely, but that would create unnecessary work for everyone involved. For that reason, I would rather use one of the practical alternatives already available.

The practical detail I have not resolved is that the centre’s folding litter grabbers must be counted at pickup and return. Please let me know how that part should be handled if the preferred plan is approved. I kept the records about Saturday’s creek cleanup and the supplies stored at Birchside Centre together for this review. No other related plan needs to change while this matter is reviewed. A written reply about having you collect the supply bins Friday evening would prevent confusion.

Thank you for considering the timing and practical effects of this request. I need your answer by Thursday at five. The coordinator needs the collector’s name before preparing the release form. Most importantly, I am asking you to collect the bins Friday and verify the grabber count. Once I hear from you, I will send the volunteer list and prepare a covered area for overnight storage.

Thanks,

Claire

Hi Claire,

Thanks for setting out the problem and the alternatives so clearly. I understand that . The original arrangement was reasonable, but the new complication calls for a different plan.

I can confirm that . That choice is suitable because . I have updated the records so the earlier arrangement is no longer treated as final.

Because you have a van and already offered to transport the full bags after the cleanup, . I will send the revised instructions after I finish the update today. The other option can remain available if something changes before the deadline.

Please reply by so I know you accept the revised plan. After your confirmation, I will send the release form and Saturday distribution plan. Thank you for providing enough detail to resolve this without another round of questions.

Best,

Emmett
