Reading Test 41 · Part 1 (Duplicate Receipt in Expense Claim)Pro

Subject: Duplicate Meal Receipt in My Expense Claim

Hi Theo,

I wanted to follow up about my expense claim from last week’s supplier visit. I submitted the travel form with three meal receipts and one transit receipt. Everything appeared to be settled, and I had planned around the original arrangement. The problem is that the same lunch receipt appears twice in the online claim. The mobile app uploaded the image again after losing its connection. As a result, the total is twenty-four dollars higher than my actual expense.

I first opened the claim portal and tried to remove the duplicate line. The submitted form is locked until an administrator returns it for editing. Before suggesting a change, I reviewed our earlier messages and the details already confirmed. One detail to keep in mind is that the correct transit receipt is already attached and should remain unchanged. My preferred solution is having you return the claim so I can delete only the duplicate meal. That would work best because the corrected total will match the receipts without delaying the other items.

That approach would preserve the parts of the plan that still work for everyone. If this is acceptable, I can update the remaining details as soon as I receive your reply. Another possibility is asking finance to reject the entire claim. The difficulty with that option is that I would have to rebuild every line and the reimbursement would move to next month. I considered cancelling the arrangement entirely, but that would create unnecessary work for everyone involved. For that reason, I would rather use one of the practical alternatives already available.

The practical detail I have not resolved is that the claim number is listed in the subject of the automated confirmation. Please let me know how that part should be handled if the preferred plan is approved. I kept the records about my expense claim from last week’s supplier visit together for this review. No other related plan needs to change while this matter is reviewed. A written reply about having you return the claim so I can delete only the duplicate meal would prevent confusion.

Thank you for considering the timing and practical effects of this request. I need your answer by tomorrow at ten. The current approval batch is exported before lunchtime. Most importantly, I am asking you to return the claim for correction rather than approving its current total. Once I hear from you, I will remove the duplicate and resubmit the form immediately.

Thanks,

Zara

Hi Zara,

Thanks for setting out the problem and the alternatives so clearly. I understand that . The original arrangement was reasonable, but the new complication calls for a different plan.

I can confirm that . That choice is suitable because . I have updated the records so the earlier arrangement is no longer treated as final.

Because the correct transit receipt is already attached and should remain unchanged, . I will send the revised instructions after I finish the update today. The other option can remain available if something changes before the deadline.

Please reply by so I know you accept the revised plan. After your confirmation, I will send confirmation after the corrected amount enters the batch. Thank you for providing enough detail to resolve this without another round of questions.

Best,

Theo
