I wanted to check in about Tuesday’s internal demonstration of the new storage containers. We planned to show all three production samples and let staff compare the closures. Everything appeared to be settled, and I had planned around the original arrangement. I am contacting you now because the final sample shipment will arrive after the demonstration. A regional sorting error sent the package to the wrong distribution centre.

As a result, we cannot show the improved lid on the actual container. I first asked the design team for the latest prototype files and photographs. They provided a working mock-up lid and a short manufacturing video. I went back through the original information to make sure the difficulty was not based on a misunderstanding. One detail to keep in mind is that you already booked the demonstration table and prepared the feedback cards.

My preferred solution is using the mock-up and video while showing the two available samples. That would work best because staff can still evaluate the main change and submit useful questions. This seems more practical than rebuilding the arrangement from the beginning. If this is acceptable, I can update the remaining details as soon as I receive your reply. Another possibility is moving the demonstration to the following week.

The difficulty with that option is that several managers will be travelling and the room is unavailable then. I considered cancelling the arrangement entirely, but that would create unnecessary work for everyone involved. For that reason, I would rather use one of the practical alternatives already available. The practical detail I have not resolved is that the mock-up must be returned to design immediately after the session. Please let me know how that part should be handled if the preferred plan is approved.
