Subject: Materials for Thursday’s Planning Meeting
Hi Rohan,
I wanted to check in about Thursday’s planning meeting for the visitor information project. I planned to present the survey results and answer questions in person. Everything appeared to be settled, and I had planned around the original arrangement. I am contacting you now because a building contractor must enter my apartment during the meeting. The only repair appointment available this month falls at the same time. As a result, I cannot leave the property while the contractor completes the access work.
I first asked the chair whether I could join the first part by video. The meeting room supports video but another presenter needs the screen after thirty minutes. I also checked the information we exchanged earlier so I would not overlook an existing condition. One detail to keep in mind is that you already reviewed my charts and understand the survey categories. My preferred solution is joining remotely for my section and having you handle later questions.
That would work best because the findings are presented directly and the team still has support after I disconnect. I do not want to change more of the arrangement than the current problem requires. If this is acceptable, I can update the remaining details as soon as I receive your reply. Another possibility is sending only the slides and missing the discussion. The difficulty with that option is that several recommendations need context that is not written on the charts.
I considered cancelling the arrangement entirely, but that would create unnecessary work for everyone involved. For that reason, I would rather use one of the practical alternatives already available. The practical detail I have not resolved is that the slide notes contain two draft figures that should not be read aloud. Please let me know how that part should be handled if the preferred plan is approved.
I kept the records about Thursday’s planning meeting for the visitor information project together for this review. No other related plan needs to change while this matter is reviewed. A written reply about joining remotely for my section and having you handle later questions would prevent confusion. Thank you for considering the timing and practical effects of this request.
I need your answer by Wednesday at noon. The chair finalizes the agenda and video links that afternoon. Most importantly, I am asking you to agree to answer later questions and use only the marked final figures. Once I hear from you, I will send the clean slide deck and a short speaking guide.
Thanks,
Selena

Hi Selena,
Thanks for explaining what changed and what you have already tried. I understand that . The original arrangement was reasonable, but the new complication calls for a different plan.
I can confirm that . That choice is suitable because . I have updated the records so the earlier arrangement is no longer treated as final.
Because you already reviewed my charts and understand the survey categories, . I will send the revised instructions after I finish the update today. The other option can remain available if something changes before the deadline.
Please reply by so I know you accept the revised plan. After your confirmation, I will send the video link and confirmed presentation time. Thank you for providing enough detail to resolve this without another round of questions.
Best,
Rohan
