Subject: Correct Version of the Outreach Report
Hi Gavin,
I wanted to follow up about the outreach report we are preparing for Monday’s review. We planned to combine the final charts with your edited introduction today. Everything appeared to be settled, and I had planned around the original arrangement. The problem is that the shared folder now displays an older draft as the current file. An automatic synchronization conflict renamed yesterday’s version and moved it into an archive folder. As a result, two team members may continue editing information that has already been replaced.
I first compared file histories and downloaded the archived copy. The archived document contains Friday’s approved figures and your complete introduction. Before suggesting a change, I reviewed our earlier messages and the details already confirmed. One detail to keep in mind is that the design team already linked its layout to the incorrectly labelled file. My preferred solution is restoring the archived copy as the official working document. That would work best because it preserves all approved edits and gives everyone one clear version.
That approach would preserve the parts of the plan that still work for everyone. If this is acceptable, I can update the remaining details as soon as I receive your reply. Another possibility is merging changes manually into the older draft. The difficulty with that option is that risks duplicating edits and overlooking the revised figures. I considered cancelling the arrangement entirely, but that would create unnecessary work for everyone involved. For that reason, I would rather use one of the practical alternatives already available.
The practical detail I have not resolved is that the restored file needs a new stable name before the design link is changed. Please let me know how that part should be handled if the preferred plan is approved. I kept the records about the outreach report we are preparing for Monday’s review together for this review. No other related plan needs to change while this matter is reviewed. A written reply about restoring the archived copy as the official working document would prevent confusion.
Thank you for considering the timing and practical effects of this request. I need your answer by today at four. The design team begins final formatting late this afternoon. Most importantly, I am asking you to confirm the archived copy and stop editing the older file. Once I hear from you, I will rename the restored document and notify every contributor.
Thanks,
Noor

Hi Noor,
Thanks for setting out the problem and the alternatives so clearly. I understand that . The original arrangement was reasonable, but the new complication calls for a different plan.
I can confirm that . That choice is suitable because . I have updated the records so the earlier arrangement is no longer treated as final.
Because the design team already linked its layout to the incorrectly labelled file, . I will send the revised instructions after I finish the update today. The other option can remain available if something changes before the deadline.
Please reply by so I know you accept the revised plan. After your confirmation, I will send the corrected link and a short version note. Thank you for providing enough detail to resolve this without another round of questions.
Best,
Gavin
