Reading Test 35 · Part 1 (Shift Swap for Training Day)Pro

Subject: Shift Exchange for Thursday Training

Hi Malcolm,

I wanted to follow up about next Thursday’s customer desk schedule. I was assigned the noon-to-eight shift while you had the early shift. Everything appeared to be settled, and I had planned around the original arrangement. The problem is that a required certification session now overlaps my afternoon hours.

The training office added my department after another class was cancelled. As a result, I cannot complete the session and cover the desk at the same time. I first checked the team calendar and asked our supervisor about exchange rules. She will approve a direct swap if both employees confirm in writing.

I also checked the earlier arrangements before deciding which alternative might cause the least disruption. One detail to keep in mind is that you mentioned preferring a later start because of a morning appointment. My preferred solution is swapping my late shift for your early shift. That would work best because we both meet our commitments without leaving the desk uncovered.

It would solve the immediate problem while keeping the useful details already settled. If this is acceptable, I can update the remaining details as soon as I receive your reply. Another possibility is using two hours of leave and returning after training. The difficulty with that option is that the session location is too far away for me to return before the busiest period.

I considered cancelling the arrangement entirely, but that would create unnecessary work for everyone involved. For that reason, I would rather use one of the practical alternatives already available. The practical detail I have not resolved is that the supervisor needs the exchange form signed by both of us. Please let me know how that part should be handled if the preferred plan is approved.

I kept the records about next Thursday’s customer desk schedule together for this review. No other related plan needs to change while this matter is reviewed. A written reply about swapping my late shift for your early shift would prevent confusion. Thank you for considering the timing and practical effects of this request.

I need your answer by Tuesday at noon. Payroll closes schedule changes that afternoon. Most importantly, I am asking you to accept the shift exchange and sign the shared form. Once I hear from you, I will notify the training office and update my travel plan.

Thanks,

Rina

Hi Rina,

Thanks for setting out the problem and the alternatives so clearly. I understand that . The original arrangement was reasonable, but the new complication calls for a different plan.

I can confirm that . That choice is suitable because . I have updated the records so the earlier arrangement is no longer treated as final.

Because you mentioned preferring a later start because of a morning appointment, . I will send the revised instructions after I finish the update today. The other option can remain available if something changes before the deadline.

Please reply by so I know you accept the revised plan. After your confirmation, I will send the approved schedule to the team. Thank you for providing enough detail to resolve this without another round of questions.

Best,

Malcolm
